NOTE! Extended time of border checks Due to the tightening of the regulations on the crossing of external borders in all Member States of the European Union, border guards are obligated to verify carefully every person entering or leaving the Schengen area.
This results in extended time of border crossing.
Passengers traveling to/from countries outside the Schengen area are requested to report to the passport control as soon as possible after check-in. Too late arrival at the gate may result in refusal on acceptance on the board.

Identity-confirming document
A travel document is a valid identity-confirming document: an identity card or a passport (when leaving the European Union the passport must be valid for at least six months from the date of return). Ticket
Most flights are ticket-free – this means that the only documents entitling you to the flight are your identity-confirming document and the contract. In case of information in the contract on check-in, you should go to an ITAKA stand after arrival at the airport to collect your tickets.

Visa
Before traveling to certain countries you have to obtain a visa. The procedure for obtaining it is explained on our website in the description of a given offer or in the "Map and information about region" or "Practical information" tabs.

Passport/identification card details
For selected trips it is necessary to provide passport or identity card details. If these details are required, this information is included in the contract. These details must be provided to the seller at the time of making a reservation or immediately after the reservation. In the event of failure to comply with this obligation, the airlines may refuse to take the passenger on board, which means that it is not possible to perform the agreement or a part of it, or it involves charging the Client with an additional fee.

Charter flights are based on an agreement between the travel agency and the airline. One or more tour operators rent the entire airplane directly from the carrier. Charter flights are carried out periodically and the sale of seats takes place only through a travel agency.

Scheduled (line) flights are regular flights carried out by airlines according to a fixed flight schedule. The tour operator purchases a number of seats on a scheduled flight, subject to terms of group reservation. Changes and cancellations are subject to separate rules, therefore there is a need to confirm costs in each case. In order to make a change in an already purchased tourist event carried out with a scheduled flight, please contact the seller.

The contract/travel document shall contain information on the method of check-in. It is given above the flight information.

Ticketless check-in means that upon arrival at the airport you have to go directly to check-in (check-in desk indicated on the departures board), where you will be issued a boarding pass based on your identity-confirming document. This is how most charter flights are organized.

Ticket check-in, in turn, is usually organized for scheduled (line) flights. You should then go to the ITAKA stand at the given airport to collect your tickets and/or visas. Then you should report to the check-in desk.

Pregnant women may travel based on the rules specified in the Transport Conditions of a given carrier. These conditions may vary depending on the carrier.

Airlines must be informed of the travel of disabled persons (wheelchair, blind, deaf-and-dumb) at least 3 business days prior to the date of departure. Information about travel of disabled people should be provided via the seller.

The flight of wheelchair users is carried out at no extra charge (also for the wheelchair). There are 3 groups of wheelchair users:
- those who need to be transported in a wheelchair at the terminal, but can enter and move around the plane on their own,
- those who need to be transported in a wheelchair at the terminal and at the entrance to the plane,
- those who are completely immobile.
A maximum of 4 people who need assistance on stairs and in the plane can be accepted on board, and it is possible to accept only 2 persons who are completely immobile. In case of a flight lasting more than 3 hours, such person must travel with an accompanying person. On-board staff is not authorized to lift or move passengers from their seat to a wheelchair or to assist in toilets. The acceptance for travel of a disabled person or another person who requires or may require special assistance shall be subject to arrangements with the carrier.
For safety reasons, disabled passengers must not occupy seats at emergency exits.

Wheelchair
Passengers’ wheelchairs are transported as registered luggage and can be given to ground staff only before boarding the plane. Batteries in battery-electric wheelchairs must be disconnected for the duration of the flight. Please consult your dealer for the possibility of transporting this type of a battery-electric wheelchair.
For safety reasons it is not possible to transport segway type vehicles.

Blind persons traveling with a guide dog
Blind people can travel with guide dogs in the passenger cabin without extra charge. The guide dog must be muzzled for the duration of the flight and must be reported to the dealer at the latest 3 working days before departure.

Baggage:

Information about your baggage allowance can be found in your contract/travel document. Each passenger with a separate seat on the plane is entitled to one piece of registered baggage and one piece of hand baggage (except for Travel Service). Hand baggage
Hand baggage must NOT contain firearms or other weapons or imitations thereof, objects with sharp ends or edges, e.g. scissors or files. It is allowed to carry medicines and cosmetics, however only in original packaging not larger than 100ml/piece (maximum, total volume per person is 1 liter). In addition, they must be packed in a transparent, resealable bag.
Transportation of medicines containing insulin or drugs must be reported to the dealer at least 3 working days before the scheduled departure. In order to transport this type of medicine, a medical certificate confirming the necessity of using the given medicine in Polish and English is required.
Hand baggage limits do not include:
- a small women purse,
- a coat, scarf or a blanket,
- an umbrella or a walking stick,
- electronic equipment,
- baby food for the duration of the flight,
- crutches and orthopedic appliances.

Main baggage
The main baggage should be marked (contain the owner's contact details).
The following should not be carried in the main baggage: cash and securities, jewelry, precious stones, precious metals, works of art, high-value art, electronic equipment, optical instruments, documents, keys, medicines, liquids, optical or easily breakable items, perishable foodstuffs.
The maximum weight of registered baggage must not exceed 32 kg, but the passenger may take baggage free of charge only up to the limit indicated in the contract. Each additional kilogram is considered as excess baggage and is subject to an additional charge depending on the carrier.

In case of charter flights it is possible to take additional outsized or sporting equipment. It is each time subject to an additional fee, the rate of which depends on the airline. It is not possible to take such equipment within the applicable main baggage allowance. Such baggage must be reported to the dealer at the latest 3 working days before departure. The airlines reserve the right to refuse to accept baggage due to the limited capacity of the cargo hold.
Note!
The worker performing the check-in procedure is entitled to refuse extra charged: excess baggage, sporting baggage, outsized luggage. This is usually due to the aircraft's load capacity, safety or lack of space in the cargo hold.

If you buy a ski offer, you are additionally entitled to 1 piece of sports baggage up to 10 kg. This limit does not combine with the main baggage, i.e. assuming that the main baggage limit is 20 kg you cannot, for example, pack 23 kg of main baggage and 7 kg of sports baggage, or vice versa 17 kg of main baggage and 13 kg of ski baggage.
In case of a WizzAir scheduled flight, the carriage of ski and snowboard equipment is subject to the special conditions described below.
Ski or snowboard boots must be packed within one piece of the main baggage allowance – max. 23 kg/person or can be taken instead of one piece of hand baggage up to max. 10 kg/person, dimensions 56x45x25cm. Boots can also be checked in as an extra piece of registered baggage at the airport at check-in. Skis with poles/snowboard must be checked in as a separate piece of baggage up to 10 kg/person, outside the main limit. This transport is free of charge. Each person can only take one set of skis with poles or a board within the free baggage. It is possible to accumulate skis and poles in case of several people traveling – several pieces in one cover. The total weight of such accumulated baggage may not exceed 32 kg/piece. This baggage should also be within the limit for individual persons. For example, when two people are traveling together, its weight within the free limit is 20 kg, for each additional kilogram the airline may charge a fee as for an excess baggage, but even in the case of paying extra charge its weight may not exceed 32 kg. In the case of four persons, the weight of the free allowance for the carriage of skis with poles/boards is 10 kg/persons, but if the baggage is packed in one bag its weight must not exceed 32 kg.

Outsized excess baggage
The limit of the main baggage that can be taken free of charge under the contract is always indicated in the contract. In case of exceeding the limit (excess baggage), the worker performing the check-in procedure has the right to charge a fee or refuse to accept the baggage. A suitcase that does not meet the requirements for certain dimensions – i.e. outsized baggage – will also be treated as excess baggage in its entirety.

Wheelchairs
Wheelchairs are always accepted at no extra charge. More information on travel for people with disabilities can be found at https://www.itaka.pl/wakacje-bez-przeszkod/

Stroller
A stroller for children under 2 years of age is transported free of charge. In the case of children over 2 years of age, strollers are accepted within their main baggage allowance.

Child seat
A child restraint system of a carrier type (plastic cradle) may be transported free of charge as part of hand baggage (if it fits in the overhead compartment) or as part of registered baggage.

Sports equipment
Sports equipment is subject to an additional fee, regardless of the main baggage limit used. The carriage of such equipment is subject to a special notification procedure. NOTE!
• Transportation of sports equipment / outsized baggage should be reported to the dealer at least 3 working days before departure. In the case of scheduled flights, the fees for the carriage of the aforementioned equipment are subject to individual pricing. For this purpose, please contact the dealer at least 5 working days before departure.
• The worker performing the check-in procedure is entitled to refuse extra charged: excess baggage, sports baggage, outsized baggage. This is usually due to the aircraft's balance or lack of space in the cargo hold.
Due to the limited capacity of the cargo hold of the airport-hotel-airport bus, in some cases there is a need for an extra charge for the transfer of sports equipment / outsized luggage / wheelchair. To check if the given equipment is subject to an additional fee for airport-hotel-airport transfer, please contact ITAKA via the dealer at the latest 5 working days before departure.

After leaving the plane, you should go to the baggage collection area. Suitcases are issued on special movable belts. It usually takes a few to several minutes. Outsized/sports equipment and wheelchairs/strollers are usually picked up at a separate location at the given airport.

Check-in:

Not every check-in requires tickets. The contract/travel document shall contain information on the method of check-in (ticket/ticketless). It is given above the flight information. If check-in requires tickets, you must collect your tickets before or during check-in at our stand at the given airport. Tickets are not sent by letter or e-mail.
If the check-in is ticketless you can go straight to the check-in desk.

If the check-in is a ticketless one, you can go directly to the baggage check-in upon arrival at the airport. The number of the check-in gate at which the check-in is to be conducted will be given on the departure board just before the check-in begins.
If you need a ticket for check-in or it is necessary to collect a visa, you should go to the ITAKA stand at the airport.

The start and end time of check-in is always indicated in the contract.
Check-in on medium-haul flights generally starts 2 hours before departure and ends 45 minutes before departure.
On some flights check-in starts 3 hours before departure and ends one hour before departure. These include flights:
- operated by Emirates
- operated by Qatar Airways
- to Israel
- long-haul flights operated by LOT Polish Airlines (USA, Canada, China, Japan)
- charter flights operated by TUI Fly Netherlands (long-haul connections: Dominican Republic, Mauritius)
- charter flights operated by Travel Service A330 (long-haul connections: Dominican Republic, Cuba, Thailand, Zanzibar)

Check-in at the airport consists of several stages:
Check-in requiring tickets:
In case of a check-in requiring tickets or the necessity to collect a visa (if ITAKA is an intermediary in their issuance) you should report to ITAKA's representative stand at the airport. Then, you have to undergo the check-in at the check-in desks indicated on the departure board.
Ticketless check-in:
In the case of ticketless check-in, the check-in is performed directly at the check-in desks indicated on the departure board.
At the check-in desk the main baggage is checked in and the following documents are verified: passport (with a visa – if required) and a ticket or travel document/contract. The baggage is also weighed, and if the weight limit is exceeded, the passenger is referred to the airline's counter in order to pay an additional fee. In case of transporting sports equipment, the equipment is marked, it is necessary to pay a fee for its transport at the airline's counter (fee rates are available at https://www.itaka.pl/linie_lotnicze/ in the description of the airline operating your flight) and check in the equipment at the oversize/outsized baggage stand.
Seats on the aircraft are allocated at check-in (except for the earlier online check-in on selected scheduled flights). During check-in, you will receive a boarding pass, accompanied by the baggage claim confirmation and specific seat numbers to be taken on the aircraft.
A boarding pass is a document that entitles you to board an aircraft. The confirmation of registered baggage check-in must be kept, it may be necessary for a possible claim concerning the baggage.
The next step after check-in is to go to the boarding pass control stations, followed by a security check, where you may be asked to show your boarding pass and identity-confirming document. Your hand baggage will also be inspected by screening during the security check. Therefore it must be prepared for inspection.
During the inspection, all metal objects, including keys, watches, belts, coins, etc., electronic equipment, including: mobile phones, hand baggage and a top cover, should be placed in a container and then placed on the X-ray device tape. During security check at the airport, passengers are asked to hand over plastic bags with packaging containing liquid substances for inspection. Persons performing the security check may also ask for the shoes to be removed and scanned in an X-ray machine.
The airport staff also perform random checks on hand baggage for the presence of selected substances, and may invite selected persons to a personal check. These are standard procedures.
After check-in and security checks, passengers traveling to airports in countries not being a part of Schengen area go through documentary check carried out by the Border Guard (passengers flying to airports in Schengen countries do not undergo any additional check of documents). After security check and Border Guard control (for passengers flying to airports in countries outside Schengen area), you are transferred to the Duty Free Zone, where you are awaiting your flight. Usually at this stage it is possible to have a meal for an extra charge or to buy drinks and other groceries that can be taken on board. Before departure, it is necessary to check on the information monitors the starting time of boarding and the gate number.
Entrance to the plane is carried out by means of the so-called "jet bridge” – a passenger bridge leading from the gate to the plane. If the plane is located at a stand far from the terminal, passengers are taken by bus, right to the machine. There, baby strollers are handed over, and passengers enter the aircraft by stairs, where they are greeted by the cabin crew. Before entering the plane, boarding passes and identity documents must be prepared.

Most of our flights are operated as charter flights and in case of these flights it is possible to check in as a family or couple. If you want to check in together, you have to undergo the check-in and register baggage together. The applicable limits per person indicated in the contract can usually be combined (according to the information in the Airlines tab and in the details of the carrier's flight), however, it should be remembered that 1 piece of baggage may not exceed 32 kg, and the total weight of baggage may not exceed the aggregate limit specified in the contract. If each person indicated in the contract checks in individually, it will not be possible to sum up the baggage allowance. The above rule does not apply on scheduled flights, where each passenger checks in separately with their own baggage.

Charter flights
In the case of charter flights, seats are allocated by an airport employee during check-in. On selected flights it is possible to reserve seats on the plane only during check-in, depending on the availability of seats, at an additional fee to be determined by the carrier.

Scheduled flights
In the case of scheduled flights with selected airlines, there is a possibility of online self check-in, during which you can choose your seat on the plane. This can be done on the carrier's website based on the ticket number, but not earlier than 72-24 hours before departure. Please ask the dealer for the ticket number.

Check-in is handled by airport staff (not the employees of ITAKA). Usually families with small children are served first, but this is not the rule for every flight. The decision is made each time by the person performing the check-in.

At selected airports, the Airport Lounge service can be purchased for an additional fee. These are comfortable waiting areas prepared for work and relaxation before departure. Drinks and snacks are included in the price of the stay at the Airport Lounge. Information about the duration of the flight can be checked at www.itaka.pl at the selected offer in the "Practical Information" tab.
The information about flight hours should be checked 24 hours before departure in the "Flight" tab in the Customer Zone www.itaka.pl/strefa-klienta/.

During charter flights there is usually no free catering, but you can use the so-called Sky Bar for a fee – the cabin crew offers snacks and drinks.
During scheduled flights meals are usually free of charge.
If free catering is served during the flight, this information is included in the travel document.

Places with more legroom are primarily located in the central part of the plane, at the emergency exits. These places may only be given to physically and mentally fit persons over 12 years of age (in some airlines over 16 years of age) who, if the situation so requires, will be able to open the emergency doors and cooperate during the evacuation. In addition, on scheduled flights operated without Polish crew, such persons should know English. No seats in the emergency row will be given to the elderly, disabled people and small children.
Places with more legroom are also in the first row. Depending on the type of the plane used, persons with reduced mobility may travel in the first row.

In the case of long distance flights, planes often need refueling and therefore require a technical stopover. It lasts about 45 minutes and passengers usually stay on board, but the final decision to leave the plane or stay on board is communicated to the passengers by the pilot.
The stopover may also be connected with the implementation of the so-called connecting flights, e.g. a plane flying to one of the Canary Islands from Poznań lands in Wrocław to take passengers from there as well (such a solution gives the possibility to implement flights from smaller airports). The stopover takes about 1 hour and this is the time for passengers returning from holidays to leave the plane, and for new passengers to take a seat, as well as the time to load/unload baggage. During a stopover, passengers continuing the flight do not leave the plane (unless the captain of the plane decides otherwise).
The stopover may also be caused by unforeseen circumstances such as weather conditions. The decision on this issue is made by the pilot of the plane.

The information about the planned stopover is included in the travel document. In the absence of such information, the flight is planned as a direct flight.

In most cases, baggage is checked in for the entire flight. During a changeover, baggage is transferred directly from one plane to another by ground staff. In some cases, baggage must be collected and checked in again, in which case appropriate instruction on how to proceed will be given at the first check-in.

The decision on the route is made by the airline's operations center and the aircraft's captain in consultation with the airports.

A child under the age of two is not entitled to a separate seat – for safety reasons, the child travels on the lap of the carer. Detailed information can be found on the website: https://www.itaka.pl/linie_lotnicze/ in the description of the airline operating your flight.

Smoking on board is strictly prohibited. .
In most airlines, also smoking e-cigarettes is prohibited.

Problems and unexpected situations:

If your baggage was damaged during the flight, it is necessary to report it to the airport staff at the LOST&FOUND point before you leave the arrival area at the airport. The LOST&FOUND point is usually located outside the baggage collection area.
Airport staff at LOST&FOUND point will issue a special Property Irregularity Report (PIR) form, on the basis of which you can lodge a complaint with the airlines. The boarding pass will have to be attached to the complaint.
If your baggage was damaged during the transfer between the hotel and the airport, you must report it to the resident.

If your did not find your baggage on the belt in the baggage collection area, please report to the LOST& FOUND office at the given airport. Airport staff will issue a special Property Irregularity Report (PIR) form, on the basis of which you can lodge a complaint with the airlines. Usually, in such cases, small purchases can be made at the airline's expense, while keeping the bills and claiming reimbursement of the costs after return, directly to the airline. If you have additional insurance that protects you from the consequences of losing or delaying your baggage, please contact your insurer.

If your documents are no longer valid, perhaps you have another document that entitles you to cross the border? In the European Union you can also travel on the basis of a valid passport. If you do not have any of these documents, you can try to make a new one in the express mode and buy additional flight to the venue (both ways in the case of scheduled flights, except for Wizz Air flights) or change the person who will be traveling. Please contact your dealer for this.

The zone in which you stay after the check-in is a stateless zone. The employees of ITAKA are not authorized to stay in this zone. All messages on delay are therefore communicated by the airport staff (usually displayed on the departures board). After a few hours of waiting, the airlines provide meals depending on the possibilities of the airport. Regulation 261/2004 of the European Parliament and of the Council dated 11.02.2004 lays down rules on assistance to passengers in the event of long delay http://www.ulc.gov.pl/_download/kopp/roz_261-2004_pl.pdf. If you have already checked in, the airlines are responsible for the entire journey to the destination airport and they make decisions about possible overnight stays in case of delay. Flight to destination and the flight back are subject to the conditions of the Montreal Convention dated 1999.

Check-in starts 2 hours before departure in case of medium-haul flights and ends 45 minutes before departure.
Exceptions are check-ins starting 3 hours before departure, which end one hour before departure and which concern flights:
- operated by Emirates
- operated by Qatar Airways
- to Israel
- long-haul scheduled flights operated by LOT Polish Airlines (USA, Canada, China, Japan)
- charter flights operated by TUI Fly Netherlands (long-haul connections: Dominican Republic, Mauritius)
- charter flights operated by Travel Service A330 (long-haul connections: Dominican Republic, Cuba, Thailand, Zanzibar)

You should come to the airport and check in within this time. The check-in is carried out independently of ITAKA Travel Agency and its delay in most situations is impossible. In case of any problems with access, please contact the Customer Service Center (https://www.itaka.pl/kontakt/)

For scheduled flights , please note that the lack of check in at the first section means the loss of the remaining sections of the flight, including the return flight (except for flights operated by Wizz Air). In this case, an additional flight in both ways must be purchased in order to use the benefits.

For charter flights a return flight may be used (long-haul flights may be an exception). In any case, we recommend contacting the dealer to confirm the possibility of buying an additional flight and buying a transfer from the airport to the hotel.
